Time management: Manager Area 🆕

🎯 Objective

This article explains how managers manage their team's timesheets and schedules in mySilae Entreprise.
The manager can:

  • View, modify, approve or deny their team's timesheets
  • Access the monthly summary of their team's activity
  • Create time grids, assign them and publish their team's schedule
  • Monitor the schedule's legal alerts

🔐 Prerequisites

  • The Time management module must be enabled in mySilae Paie
  • The manager must be designated as the manager of a team in mySilae Entreprise
  • For schedule management: the Schedule management option must be ticked in Configure module (mySilae Paie)

💻 Available features

🕒 Daily activity

🔸 Viewing timesheets

From the Daily monitoring section > Daily activity menu, the manager can access their team members' timesheets, within their management scope only:

Daily activity is declared by week, from Monday to Sunday, according to the payroll calendar. A working week may therefore span two different months.

Example: Monday 28 April to Sunday 4 May is linked to the May payroll period.

Three entry methods are available:

  • Daily total: the employee simply enters the number of hours worked per day
  • Time range: the employee enters their start and end times for the day
  • Daily package tracking: the employee declares the days worked by half-day (morning / afternoon)

In the Completed column, the manager can immediately view:

  • The hours and days actually completed
  • The hours and days scheduled for the week

🧭 Timesheets can have the following statuses:

  • Waiting for declaration: waiting for the employee to enter their hours
  • Waiting for approval: the employee has approved their hours, which are now waiting for approval by the manager or administrator
  • Refused: the manager or administrator has denied the timesheet; the employee must modify it and send it again
  • Approved: the timesheet has been approved by the manager or administrator
  • Closed: once approved, the timesheet changes to Closed status when the payroll period is closed and the payslips have been generated

To make searching easier, the manager can apply filters.

🔸 Modifying timesheets

By clicking the ✏️ icon, the manager can modify their team's entries. They can also add a comment.

Hours, time ranges or daily packages must be entered correctly before approval.

Once the timesheet has been approved, only the administrator can cancel it.

🔸Bulk approval

There are two ways to approve several timesheets simultaneously:

  • Manually select the timesheets one by one
  • Click the box to the left of the “Employee” column to select all displayed timesheets

The first approver takes precedence: if the administrator approves a timesheet before the manager, it is considered approved. There is no double approval.

🔸 Denying a timesheet 🆕

The manager can deny a timesheet when it has the Waiting for approval status. They must enter a comment explaining the reason for denial. This comment will be visible to the administrator and the employee.

When a denial is issued:

  • The employee receives a denial notification
  • They must modify their entry and send their timesheet again for approval

The manager, like the administrator, can still approve a timesheet with the Refused status directly if the employee has not made their new declaration within the required timeframe.

📊 Monthly summary

From the Daily activity menu, Monthly summaries tab, the manager can access a monthly summary of their team's daily activity, based on approved timesheets.

📆 Schedule management 🆕

The manager schedules their team independently, without going through the administrator. All actions apply only to employees within their management scope.

🔸 Creating weekly time grids

From the Schedule management page, access the schedule settings using the Schedule configuration redirection button.

Click Weekly grids. Time grids already configured in mySilae Paie appear in blue.

Click Add a grid and enter:

  • A weekly grid code: this is mandatory and must be unique for each grid
  • A label
  • A colour
  • The time ranges for each day: up to 5 ranges per day. If the end time is after midnight, the split is automatically made over the following day

Save the grid once it has been completed. Using the three dots, you can duplicate, archive or favourite an existing grid.

🔸 Assigning time grids

From the schedule settings, Assignment tab, click Assign a grid. Only team employees with an active contract are displayed.

In the window that opens, select:

  • The employee or employees concerned
  • The grid to assign
  • The relevant week
  • The recurrence, to assign the grid over several weeks

To modify an assignment that has already been published, select a new grid and click Update this assignment. To delete it, you can delete only this assignment or, in the case of a recurrence, the entire recurrence.

It is not possible to assign a grid to a week for which activity entry is waiting for approval.

Assignment is not permitted for a payroll period that has already been closed.

🔸 Understanding assignment statuses

Time slots and time grids can have the following statuses:

  • ⏳ Being created: the time slot or grid is being entered and has not been published
  • ⏳ Being modified: an already published time slot or grid is being modified
  • 🗑️ Being deleted: the grid has been published and then deleted, but the new schedule is still a draft
  • 🔒 Cannot be modified: the payroll period is closed and no further changes are possible
  • 🕐 Published: the time slots or grids are assigned and published

At the top right, the schedule status indicates:

  • Draft: time grids are in draft or being deleted
  • Published: the schedule is visible to employees

🔸 Publishing the schedule

Once the schedule is ready, click Publish to make it available to employees. Until it is published, the schedule remains a draft and employees cannot see it.

  • Publication applies to all employees in the team, even if filters are applied and only some of them are displayed
  • It applies only to the weeks visible on screen, unless a recurrence has been scheduled: in this case, the entire recurrence is published
  • Grids that are “being deleted” disappear and draft grids change to “published”

Before publication (= draft):

After publication:

🔸 Scheduling daily time slots (outside a time grid)

From the Schedule management screen, it is now possible to create one-off time slots (“shifts”) in addition to time grids:

  1. Add time slots directly from the schedule
  2. Draft mode before publication
  3. Publish time slots for a week
  4. Locked mode when daily activity entry is in progress or the payslip has been calculated
  5. Below each employee's name, on the left of the schedule, display the number of scheduled hours, the number of contracted hours and the difference between the two (under-scheduling or over-scheduling). A tooltip for each counter explains its value.
Draft mode before publication

🔸 Quickly deleting a time slot 🆕

You can delete a time slot with a single click, directly from the schedule, without opening the details panel.

  1. In Schedule management, hover over the time slot to be deleted: a bin icon 🗑️ appears to the right of the time slot.
  2. Click the icon. No confirmation is required.

The result depends on the time slot's status:

  • Being created: the time slot immediately disappears from the schedule.
  • Published: the time slot changes to “Being deleted” (white background, crossed-out times). It remains visible until the next publication and you can cancel the deletion until then [to be completed: how to cancel].
  • Being modified: the time slot returns to its original published version and the unpublished modification is abandoned.

🔸 Understanding the counters

Below each employee's name, on the left of the schedule, the manager can see:

  • The number of scheduled hours
  • The number of contracted hours
  • The difference between the two, to identify under-scheduling or over-scheduling at a glance

A tooltip for each counter explains its value.

🚨 Schedule alerts

🔸 Understanding schedule alerts

The schedule flags risky situations in real time. Two types of alerts may appear:

  • 🔴 Red alerts (blocking): only in the event of overlapping times. It is impossible to publish the schedule
  • 🟠 Orange alerts (non-blocking): insufficient daily rest, excessive consecutive days, excessive daily duration, excessive weekly duration, excessive daily span

A counter button at the top of the schedule displays the total number of active alerts for the visible period. To hide an alert, click I understand.

If an alert spans two weeks, it appears on Sunday and Monday.

🔸 Monitoring schedule alerts

A dedicated screen allows you to manage all active and hidden alerts. From the Schedule management menu, click View all anomalies.

  • Filters allow you to refine the display by period, employee, alert type and status
  • For an active alert, the Alert details panel displays the finding, the applicable threshold and a suggested correction. The I understand button allows you to hide it
  • For a hidden alert, it displays the date and person who hid it. The Show again button makes it visible again
  • The View on schedule button takes you directly to the relevant day

💡 Key points

The manager can create grids, assign them, publish the schedule and monitor their team's legal alerts without going through the administrator.

When timesheets are approved simultaneously, the first approver takes precedence: there is no double approval between the manager and administrator.

The new denial feature allows a timesheet to be sent back to the employee for correction, while retaining the ability to approve it directly if necessary.
