Employee management: Administrator area

🎯 Objective

This article presents the features available in the Employee management module of mySilae Entreprise.
The administrator can:

  • View the list of employees in the file and access their file
  • Edit the information in an employee file
  • Send documents to employees
  • Share payslips and exit documents via a secure link
  • Sign exit documents using quick send mode
  • Manage the enrollment of a new employee and monitor trial periods
  • Make an end of contract request

🔐 Prerequisites

  • The Employee management module must be activated
  • Have viewing rights for employee files, defined when configuring the module
  • To edit files: have editing rights configured in mySilae Paie
  • To add documents to a file: DMS must be activated for the administrator
  • To share documents via a secure link: the Documents and payslips module is activated by default (payslip sharing must nevertheless be activated separately)

đŸ’» Available features

Employee list

📍 Menu HR Management > Employee list

The Employee list menu displays the list of employees in the file. To make viewing easier, filter by contract status, establishment or team.

From an employee's file, the administrator can view personal information, request an end of contract, share documents and sign exit documents.

The information displayed depends on several conditions:

  • the filters applied in the contact files (employee groups or confidentiality levels): the administrator only sees the employees within the defined scope.
  • the viewing rights granted when configuring the employee management module: some information may be hidden.

🔾Edit an employee file

From an employee's file, the administrator can click Edit to update the information in an employee file.

Only authorised administrators, according to the rights configured in mySilae Paie, can edit employee files.

🔾Send administrative documents to an employee

From an employee's file, the administrator can view documents uploaded by the payroll manager in mySilae Paie, import new ones by assigning them to a category, and then make them visible or not to the relevant employee.

🔾Share documents via a secure link

This right allows the administrator to share payslips and exit documents with current or former employees.

  1. Select the documents to share.
  2. Enter the recipient's email address and the validity period for the secure link.

The employee receives an email inviting them to download the documents. They must enter their date of birth to access them.

🔾Sign exit documents (quick send mode)

Quick send mode allows exit documents to be signed quickly, without advanced configuration of signature areas. It is particularly suitable for companies managing a large number of departures.

Employee Enrollment/Termination

📍 Menu HR Management > Employee Enrollment/Termination

Enrollments

In the Enrollments tab, click Add an employee. A new page is displayed where you can enter the required information. You can edit or complete it after adding the employee. When you add an employee who has already worked for the company, a message is displayed offering to reintegrate them, without having to re-enter their information.

🔎 Note:

It is also possible to reintegrate a former employee from this tab by clicking Rehire an employee. Their file and employee number are retained. You then simply need to click Create contact to access the employee summary page.

1. The Summary tab allows you to view the tasks to be completed and their status:

  • Invite the employee to enter their information from their mySilae account (an email will be sent)
  • Complete the contract
  • Send the DPAE associated with the contract (it can be sent before or after the employee starts)

🔎 Note:

The administrator can also submit the DPAE from the Employee Enrollment/Termination > click the employee's three-dot menu, then click Send the DPAE.

When submitting the declaration, you can select the employee's health service, then correct certain details before submission.

Once the DPAE has been processed, the administrator can download the acknowledgement of receipt.

  • The administrator receives a notification when the employee has completed entering their personal information.
  • The administrator cannot submit a DPAE to the MSA; in this case, the payroll manager must carry out this action.

2. The Shortcuts tile allows you to:

  • Add a document
  • Schedule a medical check-up
  • Add a comment for the payroll manager, visible in mySilae Paie (and still editable)

🔾Enter the information for a new employee

3. Personal information

The information entered (identity, bank details, emergency contact, partner, dependants) is synchronised with mySilae Paie and automatically populates the employee file.

4. Employee information

Enter at least the employee's start date with the company and the end date of their first trial period.

The administrator's choice of employee number depends on the configuration defined by the payroll manager in mySilae Paie.

The Analytical axis section (employee group) is optional: if you wish to use it, contact your payroll manager beforehand to find out how it will affect its use.

The administrator can complete the contractual information that will be sent to mySilae Paie: the establishment and health department (mandatory), remuneration (details below), working time (daily flat rate or hours), acquisition of RTT days (details below) and meal vouchers (with a choice of acquisition method).

Remuneration entry methods:

  • Gross salary: amount before deduction of social security contributions.
  • Net salary: salary received after deduction of social security contributions.
  • Total employment cost: total cost for the employer, including gross salary and employer contributions.
  • Net salary including all bonuses: salary received, including bonuses, after deduction of contributions.
  • Collective agreement minimum.

5. Contracts

Centralises all information relating to the employee's employment contract.

6. Documents

Click Add a document to attach onboarding documents. They are also available in the employee's DMS.

From the list of transmitted documents, you can edit, download or delete a document, as well as hide it from the employee.

Monitoring trial periods

The On trial period tab groups together employees whose trial period is in progress. For each contract, it displays the employee, position, start date, current trial period end date and number of days remaining before the deadline. Employees are sorted from the nearest to the furthest deadline.

This tab is reserved for administrators with access to employee files.

Two reminders are sent to the administrator before the end of the trial period: 15 days, then 3 days (the final reminder) before the deadline.

See the article Employee management: Email notifications

Leavers

The Leavers tab allows you to monitor the status of requests (in progress, processed, not processed).

The administrator can initiate a request to end a contract in two ways:

  • 📍 Employee list > Leavers tab > Request contract termination
  • 📍 Joiners/Leavers process > Joiners > select the employee > click the three dots in the top right > Request contract termination.

Submit a request to end a contract

  1. Check the employee's personal information.
  2. Select the contract and enter the termination information: choose the reason and, if necessary, add a comment for the payroll manager. If the employee has several current contracts, select the one to be closed.
  3. Confirm the end of the contract.

The payroll manager receives a notification informing them that a request to end a contract has been made.
